Figuring Out the Challenge
A large state government agency responsible for delivering essential public services was compelled to re-evaluate its virtualization infrastructure strategy. As a public-sector organization entrusted with stewarding taxpayer dollars, the state agency needed to act quickly and responsibly to control costs, ensuring there was no disruption to critical services that thousands of residents need.
This review led the state agency to explore alternatives in the market that could deliver both immediate financial relief and long-term operational benefits. The organization ultimately selected Microsoft Hyper V because of its affordability, tighter integration within the existing Microsoft ecosystem, and the opportunity for greater consolidation. Beyond cost savings, the virtualization platform offered easier day-to-day management and increased flexibility to integrate with Microsoft Azure so future cloud initiatives can evolve.
What began as a tactical platform shift quickly evolved into a strategic modernization effort, allowing the agency to reposition the organization for great scalability, efficiency, and resilience.
Defining the Scope of the Virtualization Migration
Keeping in mind that community stewardship is the main mission and responsibility of the agency, the timeline needed to be swift. As a result, the full virtualization migration needed to be completed within five months. Despite the scale and complexity of the environment, MicroAge completed the migration in just four months, well ahead of the original timeline. This accelerated delivery was driven by deep technical expertise, disciplined project management, and strong collaboration across all participating teams.
The engagement was supported by a highly coordinated project structure that included two dedicated project managers, four senior infrastructure engineers, and approximately eight agency team members responsible for validation and coordination. Clear ownership, proactive communication, and tight execution allowed the team to maintain momentum while minimizing risk.
The effort encompassed a full virtualization platform transition, direct workload migrations, and the repurposing of existing hardware, all while carefully maintaining service continuity across multiple hosts. By pairing proven expertise with rigorous planning and execution, MicroAge ensured a smooth transition and delivered results ahead of schedule.
Identifying the Risks
From the outset, the primary challenges centered on timing and coordination across teams. Ensuring each business unit clearly understood its role, validated applications, and provided approvals at the right moments was critical to staying on schedule. Equally critical was minimizing downtime for public-facing applications that support essential services. While brief outages were unavoidable, they had to be kept to an absolute minimum. This resulted in most of the migration work being deliberately scheduled during nights and weekends to reduce disruption, reinforcing MicroAge’s commitment to putting clients’ needs first.
The project carried significant responsibility, with leadership emphasizing the critical importance of meeting the deadline to ensure uninterrupted delivery of essential services to citizens. The team approached the project with urgency and precision to ensure a smooth transition and uninterrupted service delivery.
The Approach
From initial hardware deployment through final cutover, the virtualization modernization project was guided by a strong emphasis on stability and compliance. Every configuration was carefully designed and implemented to align with the regulatory standards typical of public-sector environments.
Comprehensive test migrations were completed in advance of production cutovers, allowing the team to proactively identify and resolve issues. Daily status calls furthered transparency and alignment, providing clear visibility into completed work, upcoming milestones, and any risks requiring attention. Throughout the engagement, the architecture remained aligned with a Cisco validated design and was continually validated in collaboration with both Cisco and NetApp.
This disciplined and methodical approach provided consistency and control at every stage of the virtualization migration process.
What Made the Difference
What truly set this project apart was the depth of collaboration and execution. Familiarity with the state agency’s environment enabled a rapid understanding of constraints, dependencies, and priorities. Strong project governance ensured the right stakeholders were engaged, and decisions were made quickly.
The scale of complexity was significant: hundreds of unique applications, numerous systems, and multiple teams operating in parallel. When challenges arose, plans were adjusted, and additional expertise was brought in to maintain momentum. Continuous validation ensured applications performed as expected in the new virtual environment.
The Results
The project concluded with outcomes that extended well beyond a successful migration. For instance, the project completion being one month ahead of schedule meant there was more time to fully validate systems, stabilize workloads, and thoughtfully plan the next phase of optimization with confidence.
The organization achieved ROI in less than one year while building a more modern, scalable virtualization platform for the future.
Just as meaningful was the long-term impact. Achieving return on investment in less than one year, quicker than typical infrastructure timelines, allowed the organization to quickly refocus resources on what matters most: delivering essential services to Arizonans. With a modern and efficient virtualization platform in place, the organization is now better positioned to support its mission today while remaining prepared for what’s ahead.
If your organization is facing a similar modernization challenge, now is the time to start the conversation. Thoughtful planning, proven expertise, and disciplined execution can turn even the most complex transitions into opportunities for lasting impact.
